At Mentorria, we take the safety and privacy of young learners seriously. This Learner Privacy Policy explains our practices regarding the collection, use, and protection of personal information belonging to children who participate in our blended learning programs.
1. How We Collect Information
From Parents/Guardians
When a Parent/Guardian enrolls a child, they create a Learner account and provide information such as the child's name, age/grade, school, community hub, emergency contact, and any relevant learning needs. Parents may also provide optional information, such as learning preferences or areas needing extra support.
From Learners directly (once consented)
Once a Parent/Guardian has given verified consent, the Learner may generate additional information through normal use — for example, marking topics of interest, submitting classwork, participating in live sessions, or communicating with a Local or Global Tutor.
From the Hub itself
Because Mentorria operates through physical community hubs, we also collect:
- Hub check-in / check-out records (time, date, and the authorized adult who dropped off or picked up the Learner).
- Attendance records tied to the Learner's enrolled batch.
- General hub safety footage (e.g., common-area CCTV, where installed), governed by the hub's facility agreement with the RWA or school.
2. Learner Mode
Children use Mentorria through a restricted Learner Mode, separate from the Parent/Guardian account. Learner Mode:
- Allows the Learner to attend sessions, complete assignments, and interact with tutors and classmates within a session.
- Does not allow the Learner to enroll themselves in a paid program, change account or privacy settings, or view other learners' personal data.
- Cannot be used to make payments; enrollment and billing are handled only through the Parent/Guardian account.
Parents/Guardians can always view their child's Learner account and activity, but do not participate in Learner Mode themselves.
3. What Happens During a Session
- Hub (in-person) sessions: A Local Tutor supervises the room directly. We keep basic attendance and participation records tied to the Learner's profile for progress tracking and safety purposes.
- Global Tutor (live digital) sessions: These sessions include video and audio of the Learner, along with any chat or written messages sent during class. Sessions are recorded, and recordings may show the Learner's image, voice, and immediate surroundings within the hub.
Recording Usage
Recordings are used for: teaching quality review, resolving disputes or safety concerns, providing progress feedback to Parents/Guardians, and legal/compliance purposes.
Recordings are accessible only to the Learner's own Parent/Guardian, the assigned Tutor(s), and authorized Mentorria staff — not to other families, unless required for a specific safety investigation. We do not use session recordings for marketing or promotional purposes without obtaining separate, specific parental consent.
Recordings are retained for a designated window (typically 90 days) and then permanently deleted, except where we are required to retain them for safety, legal, or compliance reasons.
4. Who Can See Learner Information
- Local Tutors: Can see the Learner's profile, attendance, hub check-in/out record, and any messages the Learner sends to them.
- Global Tutors: Can see the Learner's name, grade/level, relevant learning needs, and anything shared or shown during a live session (including video, audio, and visible background).
- Other Learners: Other learners in the same session may see and hear the Learner during class, and may see anything the Learner shares, says, or submits in that session.
- Academic Coordinators: May access records across hubs for scheduling, progress monitoring, and quality assurance.
- RWA/Community Administration: May receive limited, non-academic information (e.g., confirmation that a specific child attended the hub on a specific day) strictly for facility access and safety coordination — not academic performance or personal learning data.
We do not allow third-party advertising or analytics providers to collect personal data from Learners in Learner Mode for their own purposes. We moderate in-session communication and hub interactions for safety and compliance with our User Policy.
5. Third-Party Tools
Some Tutors may reference third-party learning tools or apps (for example, a practice app or a digital worksheet tool) as part of a lesson. These third-party tools are not operated by Mentorria, and their own privacy practices apply. Parents should review any third-party tool's privacy notice before their child uses it, and may ask their hub's Local Tutor which tools, if any, are used in a given program.
6. Parental Consent & Rights
We obtain verifiable parental consent before collecting, using, or sharing a Learner's personal data, and before a Learner attends any session — hub-based or online.
If a Parent/Guardian does not consent, or withdraws consent: We will stop collecting, using, and sharing that Learner's personal data (other than what we're legally required to retain), and the Learner will not be able to continue attending Mentorria sessions.
- Deletion: Parents/Guardians may request deletion of their child's personal data at any time. We will delete the requested data unless we're required to retain it for legal, safety, or fraud-prevention reasons — in which case we'll continue protecting it and delete it once that reason no longer applies. Deletion may result in the Learner's account or enrollment being closed.
- Review & Update: Parents/Guardians can review and update their child's information by logging into their Parent/Guardian account, and can contact their hub's Academic Coordinator for anything not editable directly.
7. About Our Tutors
- Local Tutors are background-verified individuals engaged to supervise and teach at a specific hub.
- Global Subject Experts are background-verified individuals or, in some cases, teaching organizations, engaged to deliver live sessions remotely.
- Tutors may be employees, contractors, or partner-organization staff depending on the program; verification standards apply regardless of employment type.
- Mentorria staff (e.g., Academic Coordinators) may access or review session activity for quality, safety, and compliance purposes.

Internal Compliance Requirements
- Consent Mechanism: Ensure parental signoff flow incorporates digital OTP verification to align with the Digital Personal Data Protection (DPDP) Act, 2023.
- Recording Retention Period: Live sessions should be purged from cloud storage after 90 days unless flagged for safety audits.
- RWA Data Boundary: Standardize hub service contracts to specify that RWAs only receive check-in logs and no learning diagnostic metrics.
- Cross-Border Flows: Validate cross-border data transfer agreements if global remote tutors access student files outside of India.
- Sensitive Notes: Add encryption and granular permissions to optional profiles notes listing learning difficulties or medical details.
